Journey Tennis – Terms & Conditions
Enrolment & Acceptance of Terms
By attending a lesson, program, event, holiday camp, competition, or by making payment of any fees, the participant and/or parent/guardian acknowledges and agrees to comply with all Journey Tennis Terms & Conditions.
A registration or enrolment form must be completed before participating in any Journey Tennis program.
Journey Tennis reserves the right to refuse or cancel enrolments at its discretion when deemed necessary for safety, behaviour, operational, or coaching reasons.
Fees & Payments
All term fees must be paid in full prior to the commencement of the term unless otherwise agreed in writing by Journey Tennis.
Places in classes, squads, holiday programs, camps, tournaments, and events are not guaranteed until payment is received.
All payments made are non-refundable, including for missed lessons, change of mind, withdrawal from programs, illness, injury, holidays, scheduling conflicts, or failure to attend.
Outstanding fees may result in suspension from lessons or programs until payment is received.
Journey Tennis reserves the right to charge administration fees for overdue accounts, failed direct debits, dishonoured payments, or payment recovery costs where applicable.
Credits are not transferable between participants and cannot be redeemed for cash.
Absences & Make-Up Lessons
All lesson absences must be notified by email.
For weekday lessons, notice must be received before 12:00pm on the day of the lesson to be eligible for a make-up lesson.
For weekend lessons, notice must be received before 8:00am on the day of the lesson.
Absences notified after these times, or non-attendance without notice, will result in forfeiture of the lesson and no make-up lesson will be provided.
A maximum of two (2) make-up lessons per participant, per term, will be offered for eligible absences.
Make-up lessons:
- are subject to court and class availability
- must be completed within the same term
- cannot be carried forward into future terms without written consent from Journey Tennis
- cannot be credited or refunded
- may be scheduled on a different day or time to the participant’s regular lesson
- may be conducted with a different coach
- may be completed in a group lesson where a suitable semi-private class is unavailable
Wet Weather & Extreme Heat Policy
Where possible, Journey Tennis will notify participants via SMS, email, or other communication platforms if lessons are cancelled due to wet weather, unsafe court conditions, or extreme heat.
If no communication is received, lessons will proceed as scheduled.
Some lessons may continue indoors or in modified formats during wet or extreme weather.
Journey Tennis reserves the right to cancel, postpone, shorten, relocate, or modify sessions where weather conditions are considered unsafe.
Where Journey Tennis cancels a lesson due to weather, it will offer a make-up or catch-up session where reasonably possible.
Washout make-up sessions may be scheduled during the final weeks or weekends of the term or at other allocated times.
Coaching, Class Placement & Scheduling
Journey Tennis reserves the right to:
- alter lesson times, class structures, venues, coaches, or programs where required
- combine or divide classes according to numbers, standards, or operational needs
- move participants between groups where deemed appropriate for player development
- provide substitute coaches where necessary
Class requests are considered but cannot be guaranteed.
Behaviour & Code of Conduct
Journey Tennis is committed to providing a safe, positive, and inclusive environment for all players, families, coaches, and staff.
Participants and parents are expected to behave respectfully at all times toward coaches, staff, players, officials, and other families.
Journey Tennis reserves the right to suspend or remove any participant or parent from programs, venues, competitions, or events due to:
- abusive or inappropriate behaviour
- bullying or harassment
- unsafe conduct
- repeated disruption
- failure to follow coaching or venue directions
No refunds or credits will be provided if removal from a program occurs due to behavioural reasons.
Parent Expectations & Sideline Behaviour
Journey Tennis supports and recommends positive parental involvement in junior sports.
Parents and guardians are encouraged to:
- support effort, enjoyment, and development over results
- allow coaches to coach independently
- maintain positive sideline behaviour
- avoid coaching from outside the court
- respect all players, officials, coaches, and spectators
Journey Tennis may intervene where sideline behaviour negatively impacts players, coaches, or the learning environment.
Parents are encouraged to remain off court during lessons unless invited by the coach.
Supervision & Collection of Children
Parents/guardians are responsible for ensuring children are supervised before and after lessons.
Children should be collected promptly at the conclusion of sessions.
Journey Tennis coaches are only responsible for participants during scheduled lesson times.
Medical Conditions & Participant Health
Participants and/or parents/guardians must disclose any relevant medical conditions, injuries, allergies, behavioural conditions, or additional needs that may impact participation.
Participants acknowledge they are physically fit and capable of participating in tennis activities unless otherwise disclosed.
Journey Tennis reserves the right to exclude participants from activities where participation may pose a health or safety risk.
Participants must not attend lessons while unwell with contagious illnesses.
Medical Treatment & Liability Waiver
In the event of illness, accident, or emergency, the participant and/or parent/guardian authorises Journey Tennis staff to obtain medical assistance deemed necessary.
The participant and/or parent/guardian acknowledges that participation in tennis and physical activity carries inherent risks, including injury.
To the extent permitted by law, Journey Tennis, its directors, employees, contractors, coaches, and representatives are not liable for:
- personal injury
- property damage
- loss
- illness
- accident
- delays
- costs incurred during participation in Journey Tennis programs or events
Nothing in these Terms & Conditions excludes rights under the Australian Consumer Law where such rights cannot legally be excluded.
Photography, Video & Media Consent
Journey Tennis may take photographs and videos during lessons, programs, competitions, and events for coaching, performance analysis, marketing, and promotional purposes.
By enrolling, participants and/or parents/guardians consent to the use of images and video footage on:
- websites
- social media platforms
- newsletters
- promotional materials
- advertising
If you do not wish for images of yourself or your child to be used, written notice must be provided to Journey Tennis prior to participation.
Personal Property
Participants are responsible for their own personal belongings and equipment.
Journey Tennis accepts no responsibility for lost, stolen, or damaged property at any venue or event.
Communication
Journey Tennis may communicate with participants and families via email, SMS, phone, newsletters, apps, or messaging platforms regarding lessons, scheduling, events, promotions, or important updates.
It is the responsibility of participants and parents/guardians to ensure contact details remain current.
Privacy
Journey Tennis collects personal information for the purposes of enrolment, program administration, communication, safety, and service delivery.
Personal information will be handled in accordance with applicable Australian privacy laws and will not be sold to third parties.
Changes to Terms & Conditions
Journey Tennis reserves the right to amend these Terms & Conditions at any time.
Updated Terms & Conditions will be published on the Journey Tennis website and/or communicated to participants where appropriate.
Continued participation in Journey Tennis programs constitutes acceptance of any updated Terms & Conditions.
